Terms and Conditions for Participation at SWL Gymnastics

Introduction: These terms and conditions detail the guidelines that all participants of SWL Gymnastics must adhere to. By signing this form, you confirm that you have reviewed, understood, and agree to follow all club rules, the code of conduct, and your commitments to SWL Gymnastics.

Acknowledgement of Risk: As the parent or legal guardian, I recognize that participation in gymnastics, like any sport, involves inherent risks including physical injuries. I willingly accept these risks on behalf of my child, understanding that injuries could range from minor sprains to more serious conditions.

Medical Treatment Consent: I authorize SWL Gymnastics and its designated representatives to arrange for any necessary medical treatment for my child in the event of an emergency. This includes hospitalization and any medical procedures deemed necessary by attending healthcare professionals.

Compliance with Rules and Safety Procedures: My child agrees to adhere to all rules and safety guidelines established by SWL Gymnastics. Failure to comply may result in disciplinary actions, including suspension or termination from the program.

Liability Release: I release and hold harmless SWL Gymnastics, along with its staff, volunteers, and other associated personnel, from any claims, losses, or injuries arising from my child’s participation in the gymnastics program. This is not applicable in cases of willful negligence by SWL Gymnastics.

Photo and Video Consent: By opting-in during the registration process with "I give consent," you authorize SWL Gymnastics to capture photographs and videos of your child during activities. SWL Gymnastics may use these images on its website, social media, and other promotional outlets to highlight our programs and achievements. We are committed to handling these images with the utmost respect and ensuring the privacy of all participants.

Pick-up Policy: Timeliness is crucial when collecting your child. Please inform the coach in charge if an alternate person will be picking up your child. We ensure that your child recognizes the individual authorized to pick them up, maintaining their safety.

Observation Policy: To minimize distractions and maintain our safeguarding policies, parents are generally not allowed to watch classes. However, SWL Gymnastics hosts a special watching week at the end of each term, where parents are invited to observe our classes.

Clothing Guidelines: Appropriate athletic attire is required for participation in activities at SWL Gymnastics:

  • Avoid clothing with skirts, zippers, belts, or jeans.

  • Long hair must be tied back to prevent accidents.

  • Jewelry should not be worn during sessions to ensure everyone’s safety.

Behavior and Class Participation: Enrollment and continued participation at SWL Gymnastics depend on adherence to our rules. Inappropriate behavior may lead to exclusion from the program. Our coaches are dedicated to maintaining a safe environment, and all gymnastic activities must be conducted under their supervision. Failure to follow safety instructions may result in a gymnast being sidelined.

Arrival and Departure Protocols: Children must be escorted to the entrance of SWL Gymnastics upon arrival and collected promptly after sessions. Children in Year 7 and above can leave unaccompanied only if explicit written permission is provided by their parents. Particpants arriving more than 15 minutes late may be denied entry into the session to ensure the safety and structure of the class.

Policy on Missed Classes and Refunds
We are unable to issue refunds or allow classes to be made up at alternative times or days for any sessions that are missed. In cases where a significant injury is sustained during activities at SWL Gymnastics, we may extend a credit toward future sessions as an act of goodwill. It is important to note that refunds or credits are not available for injuries that occur outside of the gym or if there is a change in personal circumstances that prevents attendance. Our class sizes and coaching allocations are planned based on confirmed registrations, which means that full classes may result in other interested individuals being unable to participate.
